Best AI meeting notetakers for insurance agents (and what to record or not)
Fireflies vs Fathom for agency client reviews and carrier calls: published prices, CRM sync, and the recording rules to follow.
AI notetakers join video calls, transcribe them, and draft summaries and action items, so producers can focus on the client. Fathom has a capable free plan, Fireflies (Pro from $10/user/mo annual) adds team libraries and many integrations, and Lindy adds follow-up drafting and scheduling. Get consent before recording and decide what should be stored.

The problem
Annual reviews, renewal conversations, and commercial risk meetings produce details (exposures, coverage requests, declined options) that need to be documented accurately. Typing notes during the meeting pulls attention from the client, and writing them afterward eats producer time. AI notetakers join video calls, transcribe them, and draft summaries and action items, but agencies need to be careful about consent and what ends up stored.

Start with the free trial or free plan where one exists, follow the setup steps below, and pilot it with one person or one workflow before rolling it out.
What to record, and what not to
Good fits: annual reviews, renewal strategy calls, commercial risk-discovery meetings, internal team meetings, and carrier or wholesaler calls (with their consent).
Be careful with: calls where clients share health information (life or health lines), Social Security numbers, or bank details. Pause recording, or have the client provide those details through a secure form.
Don’t rely on AI summaries as your E&O documentation without review. A producer should read and correct the summary before it goes into the client file.
Notetaker or assistant?
Fathom and Fireflies focus on recording, transcripts, and summaries. Lindy covers meeting notes too, but it’s a broader AI assistant: per its pricing page it also does meeting scheduling, prep and follow-up, inbox management, and drafting replies in your voice, billed by credits rather than a flat seat price. If you only need clean notes, a dedicated notetaker is simpler. If the bottleneck is the follow-up work after the meeting, Lindy may fit better.
Setup in 30 minutes
- Pick one producer to pilot for two weeks.
- Connect the notetaker to that producer’s calendar and set it to join only meetings with external guests, or only meetings you opt in to.
- Add a line to meeting invites, such as “This meeting may be recorded and transcribed for our notes.” Say it out loud at the start of the call, too.
- Create a summary template with these sections: client goals, exposures discussed, coverage options presented, options declined, follow-ups, and next review date.
- Connect your CRM if it’s supported, or copy the reviewed summary into your agency management system.
- Set a retention period that matches your agency’s records policy.
Compliance notes
- Consent. Recording laws vary by state, and some require all parties’ consent, for example California (Penal Code §632). When participants are in different states, the safest practice is to announce the recording and get agreement from everyone.
- Data security. Your state may have insurance data security requirements (many states have adopted versions of the NAIC Insurance Data Security Model Law). Check the vendor’s security documentation and retention controls.
- Recordkeeping. Transcripts and summaries may become part of the client file. Follow your agency’s retention policy.
- This is general information, not legal advice.
Who should skip this
- Agencies that meet clients mostly in person or by phone, not video. Check the tool’s phone and mobile recording options first.
- Teams that won’t review AI summaries before filing them.
