AI receptionists for insurance agencies: after-hours calls and quote intake
Compare AI phone answering options that take quote requests, screen calls, and hand off to a person, with published prices.
An AI receptionist answers every call, collects quote details or the reason for the call, and books a callback or transfers to a person; it should never quote premiums, bind coverage, or answer "am I covered?" questions. Smith.ai (free for 25 calls/mo, Pro $150/mo) adds live human backup, Rosie bills by minutes from $49/mo, and HighLevel's Voice AI suits agencies already on HighLevel.

The problem
Customers call when they get their renewal notice, buy a car, or have a claim, and often that's after 5 p.m. or while every CSR is already on the phone. Voicemail loses some of those callers to the next agency on the list. An AI receptionist answers every call, collects quote details or the reason for the call, and either books a callback or transfers to a person.

Start with the free trial or free plan where one exists, follow the setup steps below, and pilot it with one person or one workflow before rolling it out.
What an AI receptionist should (and shouldn’t) do at an agency
Should: answer every call 24/7, identify the caller and the reason (new quote, policy change, billing, claim), collect structured quote-intake details, book a callback, warm-transfer urgent calls, and send you a summary and transcript.
Shouldn’t: quote premiums, bind or change coverage, or answer “am I covered?” questions. Those require a licensed person. Write that boundary into the script and the FAQ.
Setup in one afternoon
- List your 5 to 10 most common call reasons from the last month (ask your CSRs).
- For each one, write what the AI should collect and what should happen next (book, transfer, or take a message).
- Write a “never do” list: no coverage opinions, no premium quotes, no binding.
- Set up the vendor account and teach it your hours, locations, carriers you write, and FAQs.
- Configure transfers. Claims and urgent calls should go to a live number. Rosie’s Scale plan and Smith.ai both support live transfers.
- Start with after-hours and overflow only, then review a week of transcripts before expanding.
- Connect summaries to your CRM or email (Rosie lists a Zapier integration on all plans; Smith.ai lists native integrations, including Zapier).
Compliance notes
- Call recording consent. Some states require all parties to consent to recording, for example California (Penal Code §632). Put a recording notice in the greeting.
- Licensing. Only licensed staff should discuss coverage specifics. Keep the AI to intake and routing.
- Follow-up texts sent after the call are subject to TCPA consent rules. See our speed-to-lead guide.
- Recordkeeping. Transcripts may be records you need to keep under your state’s or carriers’ rules. Check retention settings.
Who should skip this
- Agencies where a person already answers nearly every call, including after hours.
- Agencies whose callers are mostly existing clients with complex service needs. A human answering service may serve them better.
How to compare price models
Smith.ai bills per call, Rosie by minutes, and HighLevel by usage. Pull last month’s call count and average call length from your phone system, then price each option at your volume. Smith.ai notes that known spam calls are filtered out and don’t count toward the quota.
