How we rank tools

We start from a specific problem in a specific industry, then ask which tools fix it with the least cost, setup, and risk.

Criteria

  1. Fit to the problem. Does the tool fix this specific problem out of the box, or only with heavy customization?
  2. Total published cost. Base price plus the add-ons you'd actually need, taken from the vendor's own pricing page. If pricing is quote-only, we say so.
  3. Setup effort. How much work a small team needs to go live, based on the vendor's documentation.
  4. Compliance readiness. For example, whether a vendor states it signs a HIPAA Business Associate Agreement. See compliance badges below. We never assume.
  5. Integrations. Does it connect to the systems the industry already uses (CRMs, practice management systems, agency management systems)?
  6. Who should skip it. Every pick lists situations where it is the wrong choice.

Compliance badges

Every guide has a Compliance check, and every tool page shows four badges:

  • BAA available: the vendor states it signs a HIPAA Business Associate Agreement.
  • TCPA consent support: the vendor documents consent capture or consent rules for automated calls and texts.
  • Licensed-staff handoff: the vendor documents live transfers to numbers you choose, so coverage or licensed questions can go to licensed staff.
  • Fair Housing notes: the vendor publishes Fair Housing guidance or controls for its AI.

A badge says Verified only when the vendor's own page says so. We link that page and show the date we read it. No (vendor says) means the vendor states it does not offer it. Unverified means we couldn't confirm it on a vendor page. It does not mean the feature is missing, so ask the vendor in writing. N/A means it doesn't apply to that kind of tool. A vendor claim (for example "TCPA-compliant") is reported as the vendor's claim, not as our finding.

Rule: dental top picks require a BAA

A dental guide's top pick must have a verified BAA badge. Dental practices are HIPAA covered entities, and a vendor handling patient information must sign a BAA. Our build fails if a dental guide's top pick doesn't meet this rule. When this rule was added (Oct 19, 2026), the dental top pick, Weave, already met it: Weave publishes its Business Associate Addendum. No picks changed. NexHealth stays listed second with BAA marked unverified, because we found HIPAA claims on its pricing page but no public BAA offer.

Neutral comparisons

Some guides compare vendors side by side without a top pick. They say "Tools compared (no ranking)" and list only what each vendor publishes.

What we do and don't claim

  • Prices and features are checked on vendor pages on the "Last verified" date shown on each guide, and linked so you can confirm them.
  • When a guide says a tool was hands-on tested, it says exactly what was tested. If it doesn't say so, our review is based on vendor documentation and public pricing.
  • Statistics come with a source link. We don't publish invented ROI figures. Use your own numbers.
