AI notetakers for life insurance needs-analysis meetings (plus policy review reminders)

Use Fathom or Fireflies to document fact-finding meetings accurately, then schedule annual policy reviews automatically. Published prices and recordkeeping notes.

Short answer

An AI notetaker can transcribe a needs-analysis meeting and draft the summary, so details about income, dependents, and existing coverage are captured accurately without breaking rapport. Fathom has a free plan, Fireflies (Pro from $10/user/mo annual) adds team libraries and custom retention, and Lindy can also draft the follow-up and schedule the annual review. Pair the notes with a CRM reminder for policy reviews.

The problem

A needs analysis covers income, debts, dependents, goals, and existing coverage. Getting those details right matters for the recommendation and for your file, especially for annuities, where suitability rules apply. Typing notes during the meeting breaks rapport. AI notetakers transcribe video meetings and draft summaries. Paired with a CRM reminder, the same notes can trigger an annual policy review.

Try it yourself with Fathom

Start with the free trial or free plan where one exists, follow the setup steps below, and pilot it with one person or one workflow before rolling it out.

What to record, and what to keep out

  • Record: goals, family and financial situation as the client describes it, existing coverage, options discussed, options declined, and next steps.
  • Keep out of recordings: Social Security numbers, bank and account numbers, and detailed medical history. Pause recording, or collect those through the carrier’s secure application.
  • Always review the summary. An unreviewed AI summary shouldn’t be your suitability record.

Setup in 30 minutes

  1. Connect the notetaker to your calendar so it joins only meetings you choose.
  2. Add a line to invites, such as “This meeting may be recorded for accurate notes.” Repeat it at the start of the call.
  3. Create a summary template: client objectives, financial snapshot, existing coverage, recommendations presented, client decisions, and follow-ups.
  4. After the meeting, review and correct the summary, then save it to your CRM or client file.
  5. Policy review reminders: in your CRM, create a task or automated email set for 11 months after issue, with a booking link (for example, a Calendly “annual review” event).

Compliance notes

  • Annuity suitability. States that adopted the NAIC’s 2020 amendments to the Suitability in Annuity Transactions Model Regulation require a best-interest standard and documentation of the basis for recommendations (NAIC Model #275). Notes help, but follow your carrier’s required forms.
  • Variable products fall under FINRA and your broker-dealer’s rules on recordkeeping and approved tools. Ask compliance before using any notetaker.
  • Recording consent. Some states require all-party consent, for example California (Penal Code §632).
  • Data security. Many states have adopted versions of the NAIC Insurance Data Security Model Law (Model #668).
  • This is general information, not legal or compliance advice.

Who should skip this

Agents who meet clients only in person, and agents whose broker-dealer or carrier doesn’t allow third-party recording tools.
