AI tools for life insurance lead follow-up and appointment setting
Automate the first reply and get prospects booked with Calendly plus a CRM (Pipedrive or HubSpot), with published prices and TCPA notes.
Send an automatic first reply with a booking link, then reminders so booked needs-analysis appointments actually happen. Calendly has a free plan for self-booking, and a CRM such as Pipedrive (Growth from $39/seat/mo annual) or HubSpot (sequences need Professional at $100/seat/mo) handles automated follow-up. Automated marketing texts and calls need TCPA consent.

The problem
A life insurance inquiry is often prompted by a life event, such as a new baby, a mortgage, or a health scare, and the prospect may also be talking to other agents. Speed matters. In a widely cited Harvard Business Review study of online leads, firms that responded within an hour were nearly 7 times more likely to qualify the lead than firms that waited even one more hour. The fix is an automatic first touch with a booking link, plus reminders so booked appointments actually happen.

Start with the free trial or free plan where one exists, follow the setup steps below, and pilot it with one person or one workflow before rolling it out.
The flow
- Lead arrives from a web form or a referral partner.
- Instant email (and a text, if consented) with a thank-you, what to expect, and a booking link for a needs-analysis call.
- Booked: Calendly sends reminders before the meeting. Calendly’s pricing page lists automated reminders “to cut down on no-shows.”
- Not booked: the CRM sends a short follow-up sequence and creates a call task.
- After the meeting: a summary and next steps go into the CRM (see our notetaker guide).
Setup in one afternoon
- Create one Calendly event, “Coverage review (30 min),” with an intake form that collects only name, contact details, and the reason for the call.
- Connect Calendly to your CRM. Calendly lists HubSpot and Zapier integrations.
- Build the first-touch email in the CRM, including the booking link.
- Add a follow-up sequence (Pipedrive Growth or HubSpot Professional) that stops when a meeting is booked.
- Have your compliance contact or carrier marketing team approve all templates before turning them on.
Compliance notes
- TCPA. Automated marketing calls and texts need prior express written consent. The FCC’s 2023 one-to-one rule was vacated and removed in August 2025 (Federal Register). Bought leads need consent that covers you specifically, and calls must respect Do-Not-Call lists.
- Advertising rules. Life insurance advertising is regulated by state insurance departments, and many states base their rules on the NAIC’s model regulation on life insurance advertising. Carriers and IMOs often require pre-approval of marketing pieces. Never name a carrier or product in an ad without approval.
- No product claims in automation. Keep automated messages about booking time, not about policy features or prices.
- This is general information, not legal advice.
